Protect your searches, alerts and articles/references ahead of change to NHS Knowledge and Library Hub.

In early July the interface for the NHS Knowledge and Library Hub will have a new look and functionality; using EBSCO’s new user interface.

Ahead of the change we have been alerted that if users have

  • created search alerts
  • saved searches in customer folders
  • saved bibliographic details of items

they need to take steps to help their information carry over to the new system.

Take these steps now to be ready for the change. It is advisable to do this before 1st July.

1)  Search Alerts

Search alerts will not carryover to the new system.

Instead – users are advised to find their alert and save it as a saved search instead.

Once the new interface is live, the search can be re-run and users should be able to set up a new alert.

How do I save my search alert as a saved search instead?

  • Go to the NHS Knowledge and Library Hub and sign in with your NHS OpenAthens account.
  • Click on ‘Folder’ in the blue section at the top of the screen Screenshot of the 'Folder' icon
  • You will be taken to your account.
  • In the list of folders on the left hand side, click on Search Alerts under the My Folder section.

  • A list of alerts will show.
  • For an alert – click on the ‘Retrieve alert’ link that will display below each alert.
  • The search lines used in this search will display.
  • Click on the tick box next to the search lines you want to save and then click on Save Searches / Alerts.
  • In the next screen give you search a name, then select to save as a Saved search (permanent) and click save.

  • The search will now be saved in your Saved searches.

Note – Journal alerts are different to search alerts. We have been told Journal alerts will not be carried over to the new system. Any journal alerts will need to be re-created once the new system is live.

2)  Saved searches in Custom folders

Most saved searches in the NHS Knowledge and Library Hub are in the top level’ My Folder’ area and under Saved searches.

However users may have chosen to set up custom folders and have searches saved there.

Any searches saved in custom folders will not be carried over into the new system.

To ensure your searches do carry over – they need to be moved into the saved searches in the ‘My folder’ area.

How do I move my searches out of Custom folders into the My Folder- Saved Searches?

  • Go to the NHS Knowledge and Library Hub and sign in with your NHS OpenAthens account.
  • Click on ‘Folder’ in the blue section at the top of the screen Screenshot of the 'Folder' icon
  • You will be taken to your account with the various areas and folders shown in the above picture, down the left hand side of the screen.
  • Go to the My Custom area. Open the folder(s) you have and view the saved searches in your folder(s).
  • Next to each search you want to move – click on the tick box to select it.
  • Then click on ‘Move to’ and in the drop-down box click on ‘My folder’

3)    Saved bibliographic details of items

If you have saved the details of any items e.g. articles and eBooks in your account and they are in the My Folder area – we have been advised that these should mostly be transferred over to the new system.

But as a back-up it may be advisable to export your references into a reference management software of your choice so you have a record of what items you had saved.
